The Chart of Accounts Management module allows you to efficiently organize, update, and maintain financial accounts used across Vizibly’s property management workflows. This includes adding new accounts, renaming existing ones, deleting outdated entries, and reordering accounts for better visibility and reporting structure.
Use this section to:
Add new GL accounts to your chart
Rename accounts for clarity or standardization
Delete unused or duplicate accounts
Reorder accounts to match reporting logic or operational flow
Key Steps:
Access Vizibly and navigate to the gear icon - only available for Admin
Click on "Chart of Accounts Management" to view the existing chart of accounts.
Expand or collapse categories as needed, or use the search function to find specific accounts.
To add a new account, click on the plus sign, enter the account number and name, select category or account, and press apply.
Reorder accounts by dragging them to the desired position.
To rename an account, click on the account, change the name, and press apply.
To delete an account, click on the X icon, review if the account is used in any modeling method, renovation cost category, or financial metric, and then press save changes.
Cautionary Notes:
Exercise caution when deleting accounts to avoid unintentional removal of essential accounts.
Ensure that the changes made align with the property management system's requirements and financial reporting standards.
Tips for Efficiency:
Utilize the search function to quickly locate specific accounts.
Regularly review and update the chart of accounts to maintain accurate financial records.
Save changes periodically to ensure that all updates are captured and reflected in the system.
Steps to Resolve GL Discrepancies
Go to Settings > Chart of Accounts.
Use the alert icon to identify accounts with discrepancies.
Click the pencil icon next to the GL name to open edit settings.
Search for the PMS account number and compare it with the platform’s GL.
If they differ, select the correct PMS account, click Use, and then Apply.
Repeat for other flagged accounts.
